Booking Process:

We've updated our booking process in light of evolving COVID-19 advice and regulations, but we have kept it simple and as flexible as possible to make planning and delivering your booking a positive experience.

There are two options we can offer when booking school trips:

  1. Standard packages: Our standard booking process offers the best prices with advance bookings with all suppliers. Once your estimate is accepted we reserve workshop studios and all travel activities for an average of 3-6 weeks. Clients can secure bookings with payment, but some activities, such as accommodation or coach hire, may be reserved for longer with holding deposits. Clients can stagger payments to secure different activities at different times.

  2. Flexible Package: To minimise risk post-Covid, we have introduced a flexible booking process in which we delay confirming with suppliers until 4-6 weeks before departure. Payments are made in the usual way, and trips can be cancelled with refunds if you need to, but there may be changes to show ticket availability, restaurant choices, etc. as the exact itinerary will depend on availability at the time of booking.

Standard Bookings
  1. Contact us to tell us what you want to do, when, and for how many people

  2. We will create a bespoke itinerary and produce an estimate for your workshop or travel booking. We will also provide the latest group travel/booking advice, a payment schedule, workshop development forms, etc.

  3. Some deposits may be required for reserving specific activities, such as accommodation and travel.

  4. Clients pay invoices according to their payment schedule.

  5. We will secure your bookings, forwarding tickets and vouchers accordingly.

Flexible Package Bookings

  2. We will create a bespoke itinerary and produce an estimate for your workshop or travel booking. We will also provide the latest group travel/booking advice, a payment schedule, workshop development forms, etc.

  3. You pay 25% deposit to accept our offer. Where possible, reservations will be made to secure activities.

  4. Eight weeks before travel we will contact you for an update with an updated itinerary. With your written confirmation we will make final reservations and invoice for payment.

  5. On receipt of your balance payment, at least six weeks before departure, we will secure all activities booked and agreed to. We will forward all tickets, paperwork, etc to you.

Cancellations
  1. If you have an unpaid reservation you can cancel your booking at any time without charge.

  2. If you have paid a deposit you can cancel at any time minus a cancellation fee (20% of your deposit).

Group Workshops
COVID-19

Due to the government's decision to close schools on Friday on Friday 20th March 2020, and impose a UK-wide lockdown with social distancing restrictions from Monday 23rd March 2020, Theatre Workout was therefore unable to deliver booked activities. We expected to be able to resume business by September 2020.

This decision is out of the control of Theatre Workout.

  • Any booking cancelled by clients before the announcement to close schools will be treated as per our usual terms and conditions, as too will any bookings cancelled by a client for a date beyond the lockdown period.

  • Any workshop booking cancelled due to UK Government restrictions from Monday 23rd March will be offered a credit note towards a replacement workshop or trip for a later date, minus any reasonable expenses incurred by Theatre Workout for work carried out, as per the agreement for that trip.

  • Any bookings cancelled for third party activities, such as theatre tickets and tours, will be treated as per that supplier's own terms and conditions with either refunds or credit notes offered accordingly.

The latest guidance we have is that school groups can run from 17th May 2021 with the reopening of the hospitality sector. School groups, travelling as a bubble, are exempt from the "rule of 6".

Credit notes for cancelled workshop bookings can now be used on any workshop taking place before 31st July 2022, with payment processed by 31st March 2022 under our normal terms and conditions. Read more here.

We are currently able to run outreach workshops in schools and you can see our safety precautions policy here.

Theatre Workout has been accredited with a 'We're Good To Go' award by Visit Britain as we prepare for our full reopening.
